We are looking for a Procurement Manager who can establish a structured procurement function, strengthen vendor partnerships, and ensure that GreyLabs receives the right quality, service, and commercial value from every engagement.The RoleThis is a new role at GreyLabs AI, offering an opportunity to build and shape the company’s procurement and vendor-management practices from the ground up.You will manage the complete procurement lifecycle from understanding business requirements and negotiating commercials, coordinating onboarding, monitoring performance, and managing renewals. You will partner closely with Finance,,Information Security, Marketing, Technology, People, and Business teams.This role requires someone who combines strong commercial judgement with relationship-building ability and operational discipline. We are looking for a hands-on professional who can negotiate effectively while building credible, long-term partnerships with vendors.Key ResponsibilitiesStrategic sourcing and procurementOwn procurement across technology solutions, SaaS tools, cloud and IT services, event partners, marketing agencies, consultants, and other service providers.Understand stakeholder requirements and translate them into clear scopes of work, evaluation criteria, and commercial expectations.Identify, evaluate, and empanel vendors based on capability, quality, reliability, scalability, risk, and cost.Lead RFIs, RFPs, RFQs, comparative evaluations, and competitive bidding processes where appropriate.Build a reliable vendor ecosystem that can support the company’s evolving requirements.Commercial negotiations and contractingLead negotiations covering pricing, payment terms, service levels, renewal conditions, termination clauses, and commercial safeguards.Analyse vendor proposals and total cost of ownership to make well-informed procurement recommendations.Partner with Finance and Legal teams to review contracts, statements of work, purchase orders, and commercial agreements.Identify consolidation, renegotiation, and cost-optimisation opportunities without compromising service quality.Maintain visibility into contract validity, renewal dates, committed spends, and commercial obligations.Vendor onboarding and governanceDevelop a structured vendor onboarding process covering documentation, due diligence, compliance, approvals, and internal handovers.Coordinate with Legal, Finance, Information Security, and relevant business teams to ensure vendors meet applicable requirements.Maintain a central repository of vendor records, agreements, commercial terms, compliance documents, and renewal timelines.Establish clear procurement policies, approval workflows, and documentation standards.Ensure purchasing decisions follow appropriate financial controls and authorisation processes.Vendor relationship and performance managementBuild strong, professional relationships with strategic vendors and partners.Define and monitor vendor SLAs, deliverables, service quality, responsiveness, and commercial performance.Conduct periodic vendor reviews and address delivery gaps, escalations, or contractual concerns.Develop vendor scorecards and recommend continuation, corrective action, renegotiation, or replacement.Act as the central point of coordination for significant vendor-related matters.Spend visibility and reportingCreate dashboards and reports covering vendor spend, savings, renewals, category-wise expenditure, and performance.Track cost savings and cost avoidance generated through negotiation, consolidation, and process improvements.Support annual budgeting and procurement planning by providing relevant spend insights.Identify procurement risks, dependencies, and opportunities for improved commercial efficiency.What We Are Looking For6–9 years of experience in procurement, strategic sourcing, commercial management, or vendor management.Experience managing indirect procurement categories such as technology, SaaS, IT services, events, marketing, consulting, and professional services.Strong commercial negotiation skills, with experience evaluating proposals and negotiating contracts.Working knowledge of vendor onboarding, contracting, purchase orders, payment terms, SLAs, and renewal management.Ability to work effectively with Finance, Legal, Information Security, Technology, Marketing, and senior business stakeholders.Strong analytical ability and confidence working with spend data, cost comparisons, and commercial models.Excellent communication, stakeholder management, and vendor relationship skills.High ownership, attention to detail, and the ability to establish processes in a fast-growing environment.Proficiency in Excel or Google Sheets;
